Four details are enough
Mention the city, date or period, activity and approximate duration. You can add your preferred language. You do not need to share your home address, workplace or personal information that does not help arrange the outing.
For example: “Hello, I will be in Milan on Friday. I would enjoy a dinner of around two hours at a central restaurant. I prefer speaking English. Are you available? I would like to understand the arrangements and total cost.” Adapt it to your plans without pretending familiarity.
A good first message opens a conversation. It does not have to tell your whole life story.
Ask what you need to know
Before confirming, clarify what the proposal includes, how activity expenses are handled and what happens if plans change. If the reply is vague, return to one point at a time. That is easier than a conversation built on assumptions.
An immediate response is not always possible, and silence does not prove lack of interest. Avoid sending many consecutive messages. If you have a planning deadline, state it clearly and consider other options if you do not receive confirmation.
Choose your channel thoughtfully
Use a channel the professional has actually enabled. An internal message may let you start with a nickname; WhatsApp and phone calls can reveal your number. Choose what feels comfortable and check before sending.
TAKE IT WITH YOU
